AV Solutions by Room Type: Small Huddle Space to Large Boardroom Specification Guide

Every conference room has a personality. The four-person glass-walled huddle space at the corner of the open plan floor is used for quick standups and informal calls. The twelve-person room on the executive floor hosts quarterly reviews and client presentations. The boardroom is where decisions get made and board members form impressions. The 300-seat auditorium runs town halls and training events.

Each of these rooms requires a fundamentally different AV system. Specifying them the same way is a category error that results in rooms that are either underwhelming for their purpose or overcomplicated for their users. This guide provides a complete specification reference for each room type — the hardware categories, the sizing criteria, and the specification choices that professional AV designers make for each.

Room Type 1: Huddle Space (2–4 Persons)

The Huddle Room Profile

Huddle rooms are small, numerous, and high-utilisation. A well-designed corporate floor typically has one huddle space for every 8–10 workstations. They are used for brief internal discussions, quick video calls, and small team check-ins. The technology must work instantly, every time, without any setup friction.

The worst thing you can do to a huddle room is over-specify it. A complex touch panel, a ceiling microphone system, and a PTZ camera are engineering achievements that serve no purpose in a 10 m² room and will be used incorrectly or abandoned in favour of personal devices.

Room Type 2: Small Meeting Room (6–10 Persons)

The Small Meeting Room Profile

Small meeting rooms are the workhorses of corporate AV. They host team meetings, client calls, training sessions for small groups, and the majority of scheduled video conferencing. They need reliable video conferencing capability, clear audio for all seated participants, and the ability to display shared content alongside the video call.

The Large Conference Room Profile

Large conference rooms host department meetings, client presentations, training sessions, and cross-functional working sessions. Room Type 4: Executive Boardroom

The Boardroom Profile

The executive boardroom is the highest-stakes AV environment in any organisation. Board members, senior executives, regulators, and key clients use this room for decisions that shape the organisation. Technical failure in a boardroom is not an inconvenience — it is an organisational credibility problem.

Boardroom AV design prioritises reliability above all other criteria. Every component is specified for commercial-grade performance, redundancy is built in where practical, and the control interface is designed so that any executive can operate the room without training.

Room Type 5: Auditorium and Multi-Purpose Hall

The Auditorium Profile

Auditoriums and large multi-purpose halls — used for all-hands meetings, town halls, training events, conferences, and external events — require professional AV at a scale that approaches broadcast quality. The audience size (50–500+) and the room dimensions (15 m to 40 m depth) create engineering challenges that demand systematic design rather than product selection.

Auditorium Specification

Display:

  • For rooms up to 25 m depth: laser projector (8,000–15,000 lumens) on 150–200-inch screen
  • For rooms above 25 m depth: dual laser projectors or WUXGA/4K projectors (15,000+ lumens)

Choosing the Right Specification for Your Organisation

The specifications above represent complete, professional-grade systems for each room type. Your actual specification may vary based on budget constraints, existing infrastructure, and specific use cases. The key principle is that each room should be designed for its actual use — not over-specified for prestige and not under-specified to save money at the cost of usability.

A common and costly mistake in Bangladesh corporate AV projects is specifying all rooms at the same level — either everything at the lowest specification (saving cost but underserving the boardroom and large conference rooms) or everything at the highest specification (overspending dramatically on huddle rooms and small meeting rooms).

The right approach segments rooms by type and specifies each appropriately. The capital cost is similar or lower than uniform specification, and the user experience across all room types is dramatically better.
