Enterprise AV Integration Playbook: Planning, Deployment & Management

Audio Visual · Enterprise AV integration playbook for Bangladesh organisations — room typology, display selection, video conferencing, AV network design, and management systems.

Overview

What's in this paper

Executive Summary

Enterprise AV (Audio-Visual) systems are no longer the exclusive domain of IT departments and facilities managers — they are critical business infrastructure that directly affects meeting effectiveness, remote collaboration quality, and how organisations present themselves to clients and partners. A poorly designed conference room AV system costs far more in wasted meeting time, failed video calls, and frustrated employees than the cost of a correctly designed system.

This playbook provides a complete framework for enterprise AV planning, deployment, and management for Bangladesh organisations. We cover room typology and standardisation strategy, technology selection for display, audio, camera, and control systems, video conferencing platform integration (Microsoft Teams Rooms, Zoom Rooms, Google Meet), AV network design, installation standards, user training, and ongoing management.

SSAL's AV integration practice has deployed conference rooms, training centres, boardrooms, and lobby display systems for Bangladesh's banking, manufacturing, healthcare, and commercial real estate sectors. The principles in this playbook reflect our delivery experience across projects of every scale.

Chapter 1: AV Strategy

1.1 Room Typology

An enterprise AV strategy begins with defining the room typology — the categories of space that need AV equipment — and ensuring that each typology has a standardised, defined AV specification. The value of standardisation is immense: users learn one system interface that works the same way in every room; IT support has a smaller set of systems to manage and stock spares for; procurement achieves volume pricing; and future upgrades are simplified when all rooms of the same type use the same equipment.

Define your room typology before any equipment selection:

  • Huddle space / informal meeting area: 2–4 person spaces with a TV and simple webcam. No dedicated control system required.
  • Small conference room: 4–8 people. Video conferencing capability essential. Simple one-touch join system.
  • Large conference room: 8–16 people. Large display or dual displays. Camera must capture full room. Quality ceiling microphone array essential.
  • Boardroom: 12–25 people. Premium displays, presenter microphone, ceiling speakers for reinforcement, sophisticated control system.
  • Training room: Variable seating layout. Projection or large display. AV over IP for flexible connectivity. Document camera optional.
  • Lobby / reception display: Digital signage, single or multi-panel, content managed centrally.

1.2 Standardisation Benefits

Standardising room typologies delivers five measurable benefits. First, users experience the same interface in every room of the same type — reducing the "this room doesn't work like the others" support calls by 60–80%. Second, IT can manage all rooms of each type from a central management platform. Third, bulk hardware procurement reduces unit cost by 10–20% for common components (monitors, cameras, soundbars). Fourth, configuration templates apply to every new room of each type without re-engineering. Fifth, spare hardware stocking is simplified — one spare camera serves all small conference rooms.

Create a written AV specification document for each room typology. Include: display model and size, camera model and mounting position, microphone type and quantity, speaker type, control system, connectivity panel specification (HDMI in, USB-C in, wireless presentation adapter), and cable management standard. All future rooms of that type will be built to this specification — deviations require IT leadership sign-off.

Chapter 2: Room-by-Room AV Specification

2.1 Huddle Space

Display: 55–65" commercial-grade LED display. Commercial displays (rated for 18-hour daily operation) are essential — consumer TVs will burn out within 1–2 years of business use.

Camera/Speaker: All-in-one USB video bar (Logitech Rally Bar Mini, Jabra PanaCast 50, or equivalent). These devices integrate camera, microphone array, and speakers in a single unit mounted above the display, connecting via USB to the room's PC or laptop. No dedicated control system required.

Connectivity panel: Surface-mounted table connectivity box with HDMI, USB-C (DisplayPort Alt Mode + USB 3.0), and USB-A ports. Wireless presentation adapter (Barco ClickShare or equivalent) for cable-free screen sharing.

Network: Cat6A data outlet at display position for display management; USB connectivity panel for all-in-one device.

2.2 Small Conference Room (4–8 People)

Display: 75–86" commercial 4K display or dual 65" displays (for rooms wider than 5 metres).

Camera: Wide-angle PTZ or fixed-angle 4K USB camera providing full-room coverage. The camera must be able to see all participants when all seats are occupied. For rooms up to 5 metres deep, a 120-degree wide-angle camera at the front of the room is adequate. For deeper rooms, a PTZ camera with auto-tracking is recommended.

Microphone: Ceiling microphone array (Biamp Devio, Shure Microflex Advance) providing full-room pickup for video conferencing. Ceiling microphones eliminate the table clutter of individual microphones and provide consistent pickup quality regardless of where participants sit.

Control: All-in-one touch panel system (Crestron Flex, Logitech TAP IP) providing single-touch room join, display control, and volume management. One-touch join for Microsoft Teams, Zoom, or Webex is now the standard user expectation — systems requiring multiple steps to start a video call are unacceptable.

2.3 Large Conference Room (8–16 People)

Display: Dual 86" displays (one for video, one for content) or a single 110"+ commercial display or microLED direct-view display.

Camera: PTZ camera with auto-tracking (Panasonic AW-HE42, Sony EVI-H100S, or dedicated MTR-certified camera system). The camera must be able to frame 2 participants, 4 participants, or the full room automatically based on activity — auto-tracking AI cameras handle this without operator intervention.

Microphone: Multiple ceiling microphone arrays (or a ceiling-mounted beamforming microphone system such as the Shure MXA910) covering the full table. Ensure the microphone system covers the full length of the conference table with no dead zones — test with occupants at the furthest seats from the camera before commissioning.

Speakers: Ceiling speakers for voice reinforcement (participants at the far end of the room need adequate audio level from the video conferencing call). Specify a separate audio amplifier and DSP (Biamp Tesira, QSC Q-SYS) for professional audio signal processing.

Control: Crestron or Extron touch panel control system with room scheduling display (typically a small touchscreen outside the room showing availability), occupancy sensor integration, and automated lighting control.

2.4 Boardroom

Display: Dual 98" commercial displays, or a rear-projection system, or a 4×1 video wall using ultra-narrow bezel displays. Premium display technology (Samsung The Wall microLED) is increasingly specified for Bangladesh's top-tier boardrooms.

Camera: Dual-camera system — a wide-angle overview camera capturing the full room, and a PTZ camera for close-up participant capture during video calls. Camera selection should include auto-tracking and AI face-framing for professional video call experience.

Microphone: Executive-grade wireless microphone system (Shure QLXD or Bosch Conference DCN) with individual delegate microphones at each seat, central chairman unit, and DSP processing for echo cancellation.

Control: Crestron or AMX touchpanel control system with programmed scenes (Presentation, Video Conference, Discussion, AV Off). Custom programming required for each boardroom — standardised templates cannot fully address the complexity of boardroom AV.

Furniture integration: AV connectivity panels integrated into the boardroom table, with cable management routing through the table legs. Wireless charging pads at each seat position (increasingly specified for Bangladesh's executive boardrooms).

Chapter 3: AV Technology Selection

3.1 Display Technology

Commercial LED (LCD) Displays: The workhorse of enterprise AV. Commercial-grade displays (vs. consumer TVs) are built for 18-hour daily operation, include professional mounting options (VESA pattern for flush wall mount), support RS-232/IP control for automation, and have longer warranty periods (3–5 years). Major commercial display brands for Bangladesh's market: Samsung QM/QH series, LG UM5N/UH5F series, NEC commercial.

Laser Projectors: For training rooms and large conference rooms where a very large image (above 120") is required at lower cost than a direct-view display of equivalent size. Laser projectors (replacing lamp projectors) have 20,000-hour light source life, no lamp replacement cost, and instant-on/instant-off capability. They are the appropriate technology for rooms where screen size is more important than image brightness in ambient light.

microLED / LED Wall: Direct-view LED panels (pixel pitch 1.0–2.5 mm) create seamless ultra-bright displays with no bezel, infinite contrast ratio, and extreme durability. These are specified for boardrooms, lobby feature walls, and large training facilities. Cost is 5–10× higher than equivalent-size LCD displays — but the image quality is also categorically different.

3.2 Camera Systems

PTZ (Pan-Tilt-Zoom) cameras for large conference rooms provide optical zoom for close-up participant framing and full-room wide shots, remotely controlled from the room's touch panel or automatically directed by AI presenter-tracking software. Specify SDI or NDI (Network Device Interface) output for professional-grade AV systems; HDMI or USB for simpler systems.

AI tracking cameras use on-board processing to automatically frame the active speaker, zoom to the presenter at the whiteboard, or frame all participants in a wide shot — without any operator control. AI cameras significantly improve the video call experience for remote participants and eliminate the need for a dedicated camera operator in medium-size conference rooms.

Chapter 4: Video Conferencing Platform Integration

4.1 Microsoft Teams Rooms (MTR)

Microsoft Teams Rooms is the dedicated room-based video conferencing system for Microsoft Teams organisations. MTR hardware consists of a certified compute device (running Windows 10 IoT) connected to certified peripherals (camera, microphone, touch panel). The MTR provides one-touch meeting join, automatic camera framing, and seamless integration with Teams calendar and meeting scheduling.

Bangladesh organisations using Microsoft 365 — the majority of the corporate sector — should standardise on MTR for all conference rooms above huddle space level. MTR ensures that Teams meetings initiated from any Microsoft 365 calendar event are instantly joinable from the room with one touch, without any manual connection setup.

SSAL is a certified Microsoft Teams Rooms integrator. We design, install, and configure MTR systems for Bangladesh enterprises, including custom room designs using Crestron Flex MTR systems and Logitech Tap systems.

4.2 Zoom Rooms

Zoom Rooms provides an equivalent all-in-one room video conferencing experience for organisations standardised on Zoom. Zoom Rooms is more common in Bangladesh's international NGO sector and technology companies than in the banking and manufacturing sectors. Zoom Rooms hardware is more diverse (Zoom certifies hardware from more vendors), providing more flexibility in room design.

4.3 Multi-Platform Rooms

Many Bangladesh enterprises require rooms that can join both Teams meetings (for internal collaboration) and Zoom/Webex meetings (for external calls with clients who use different platforms). Multi-platform room systems — using a dedicated wireless conferencing system (Barco WeConnect, Mersive Solstice) alongside platform-specific clients — allow any meeting platform to be used from the same room infrastructure. This flexibility comes at higher cost and configuration complexity.

Chapter 5: AV Network Design

5.1 Dedicated AV VLAN

AV systems — displays, cameras, control systems, AV-over-IP extenders — are network-connected devices that should be isolated on a dedicated AV VLAN. This VLAN isolation:

  • Prevents AV traffic from competing with corporate data traffic for bandwidth
  • Allows AV-specific QoS (Quality of Service) policies to prioritise video stream delivery
  • Simplifies AV troubleshooting (problems on the AV VLAN don't affect the data network)
  • Provides security isolation (AV systems, which often have less sophisticated security firmware than enterprise IT devices, cannot access corporate data network)

Configure the AV VLAN on the building's core switch infrastructure, with the AV VLAN accessible only from the AV management workstation and the video conferencing call bridge.

5.2 Bandwidth Planning

AV system bandwidth requirements:

  • Video conferencing (1080p H.264): 3–6 Mbps per room
  • Video conferencing (4K H.265): 10–20 Mbps per room
  • AV-over-IP (SDVoE, NDI): 1–3 Gbps per video stream (requires 10GbE network for AV-over-IP systems)
  • PTZ camera management: Less than 1 Mbps per camera
  • Digital signage content: 10–50 Mbps per screen during content update (burst); negligible during playback of pre-downloaded content

For most conference room AV installations using standard video conferencing, the AV VLAN requires 20–50 Mbps per room at peak. A building with 20 conference rooms requires 400 Mbps–1 Gbps AV VLAN capacity. Standard enterprise networking with 10GbE access switches is more than adequate.

Chapter 6: Installation Standards

6.1 Cable Management

Enterprise AV installation standards demand professional cable management:

  • All AV cables (HDMI, USB, audio) routed in cable trunking or conduit, not surface-run
  • Cable trays within AV equipment racks — no loose bundled cables
  • All cables labelled at both ends using DYMO or Brady label printers
  • Cable slack coiled neatly in cable management rings, not excess bundled with cable ties

Professional cable management is not aesthetic preference — it is a maintenance necessity. A conference room AV system where the integrator must spend 30 minutes tracing unlabelled cables to diagnose a fault is a system that generates excessive service costs over its lifetime.

6.2 Equipment Rack Design

AV equipment racks (containing AV processors, amplifiers, video matrix switches, control systems) must be designed for:

  • 1U spacing between active components for airflow
  • Power supply unit at the bottom of the rack (heavy equipment at the bottom reduces tipping risk)
  • Active cooling fan units if multiple amplifiers or compute units are in the same rack
  • Cable management panels at rear of each 2U equipment section
  • Locked front and rear doors to prevent unauthorised access or configuration changes

Chapter 7: User Training and Adoption

7.1 The Most Underinvested Area

User training for AV systems is consistently the most underinvested component of enterprise AV projects. Organisations spend millions on hardware and integration but allocate zero budget for user training, and then wonder why users continue to walk into conference rooms with their laptops and personal webcams rather than using the installed systems.

Every conference room user — not just the AV champions — must understand how to:

  • Start a meeting (touch the panel, touch "start meeting")
  • Join a calendar-scheduled Teams/Zoom meeting (one touch on the panel)
  • Share screen content from a laptop (via HDMI, USB-C, or wireless adapter)
  • Adjust volume and camera framing
  • End a meeting correctly (the room should return to standby — not leave a stale Teams call running)
  • Report a problem (single action: call IT helpdesk or submit room booking with "AV fault" note)

Provide laminated quick-reference cards at every conference room table. Record 3-minute video tutorials for each room type and publish them on the company intranet. Schedule 15-minute "room orientation sessions" for department heads to introduce their teams to the new rooms.

Chapter 8: AV Management and Support

8.1 Remote Monitoring Tools

Enterprise AV management platforms (Crestron XiO Cloud, Extron GlobalViewer, Logitech Sync, QSC Q-SYS Reflect) provide centralised monitoring of all AV devices from a single dashboard. IT support can:

  • See the online/offline status of every AV device across all rooms
  • Remotely restart devices without physically visiting the room
  • Push firmware updates to all devices of the same type simultaneously
  • Monitor meeting room utilisation statistics (which rooms are used, at what times, for what duration)
  • Receive automated alerts when a device goes offline or a firmware update fails

For Bangladesh enterprises with multiple office locations across Dhaka, Chittagong, and other cities, centralised remote AV management is essential — sending an engineer to Chittagong to restart a stuck camera system that could have been rebooted remotely represents a disproportionate cost.

8.2 SLA for AV Support

Define a Service Level Agreement for AV support. Conference room AV faults should have priority equivalent to network faults — a broken conference room during a critical client meeting is a significant business impact. Specify:

  • Priority 1 (boardroom or major conference room inoperative): 4-hour response, same-day resolution
  • Priority 2 (medium conference room inoperative): Next-business-day response, 48-hour resolution
  • Priority 3 (huddle space or minor issue): 5-business-day resolution

SSAL's AV support AMC provides response within these SLA parameters for all AV-managed sites in Dhaka and Chittagong.

Conclusion

Enterprise AV integration is the intersection of technology, architecture, and human behaviour. The technology choices — display type, camera model, microphone system — matter, but they matter less than the design discipline (standardisation across room types), the installation quality (professional cable management, certified testing), and the user adoption programme (training and reference materials that make the systems accessible to every employee).

Bangladesh's corporate sector is rapidly expanding its AV infrastructure as hybrid working, multi-city operations, and international client relationships make video conferencing a daily necessity. The organisations that invest in professionally designed and deployed AV systems gain a measurable advantage: better meetings, faster decisions, and a more professional impression on international counterparts.
